Import your books

Bring masters and vouchers in from an XML file, paste master lists from a spreadsheet, and import bank statements.

From an XML file

SAHARA Core imports accounting data from an XML file in the widely used data-interchange format (the file starts with <ENVELOPE>). Export your masters and transactions as XML from the software you use now.

Open Alt+O (Import) › Masters or › Transactions. Both open the same five-step wizard:

  1. Upload: Choose file… (Alt+O) or Paste XML (Alt+P).
  2. Parse: SAHARA Core counts what it found: groups, ledgers, stock items, locations, vouchers, and any rows it could not read.
  3. Map groups: pick a SAHARA Core group for any group it could not place (F4 opens the list).
  4. Dry-run preview: accounts, ledgers, locations, opening balances and every exception. Answer each exception: nothing is chosen for you. Nothing is written at this step.
  5. Commit: SAHARA Core writes the import and shows what it created and skipped.

Alt+X abandons the import at any step.

What comes across: groups, ledgers, units, stock items, stock groups and categories, godowns, cost centres, voucher types, vouchers, opening balances and cheque details. Importing the same file again updates changed ledgers and items and skips vouchers already imported.

Safety: commit is refused while any exception is unanswered, or if the file changed after you uploaded it. A damaged file imports nothing: “Export the file again, then start a new import.”

From a spreadsheet: Bulk Import

Open Gateway › Create › Bulk Import. Copy rows from Excel or any spreadsheet and paste them in, for items, ledgers, locations, units or batches. You see a preview before anything is saved, and duplicates are held back.

Bank statements

Open Banking › Bank Reconciliation Summary, choose the bank, then import the statement file (CSV, TSV or text). Imported rows appear in Imported Bank Data; rows already imported are skipped.

Check your books after importing

Compare SAHARA Core’s Trial Balance and Profit & Loss with your old books for the same dates. If a figure differs, tell us before you rely on it.
